Lost Property Policy And Procedure

Loss of Passengers’ Luggage

The Passenger(s) shall remain responsible at all times for their Luggage & Personal Items

and shall ensure that all their Luggage & Personal Items are loaded into the Vehicle prior

to commencement of the Service, and unloaded from the Vehicle upon completion of the

Service. The Carrier accepts no responsibility for any loss of / damage to Luggage &

Personal Items or consequential losses arising as a result of Luggage & Personal Items

which are not loaded to or unloaded from the Vehicle.

 

The Customer will be responsible for the conduct of the Passenger(s) and shall pay for

any loss and/or damage caused by the Passenger(s) to the Vehicle or any other property,

including but not limited to cleaning costs following any spillage or soiling of the Vehicle

and any loss of earnings suffered by the Carrier or any sub-contractor or employee of the

Carrier due to the Vehicle being out of use during such cleaning

1. Purpose

The purpose of this policy is to ensure lost property is handled efficiently and respectfully, while also maintaining a secure and organized process for reclaiming lost items.

2. Scope

This policy applies to all employees, visitors, and contractors of TRANSFERFORCE LTD and covers any items that are lost or found on the premises or during company activities.

3. Definitions

• Lost Property: Any item that has been inadvertently left behind by its owner and is found within the organization’s premises or by a staff member.

4. Reporting Lost Property

• Lost Property by Employees/Passenger: If an employee or passenger loses an item, they must report the loss immediately to the TRANSFERFORCE LTD via email or calls which are indicated in the contact section.

• Found Property: Any employee or individual who finds an item must report it to the operating department of our company and the staff reports it to the concern passengers.

5. Handling of Found Property

• Storage: Found property is stored securely in a designated area (e.g., a locked room, box, or safe). Each item is labeled with the date and location where it was found.

• Record Keeping: A record of the found property, including item description, found date, and location, should be logged into a Lost Property Register.

6. Attempting to Identify the Owner

• Owner Identification: If the item is identifiable (e.g., with personal information or an ID), the owner is contacted directly if possible.

• Public Notice: If the owner cannot be identified immediately, the lost property will be announced on the organization’s notice board or communicated via local offices (e.g., email or intranet).

7. Retrieving Lost Property

• Owner’s Claim: The owner must provide adequate proof of ownership when collecting lost property. Proof may include descriptions, receipts, or other verification.

8. Disposal of Unclaimed Property

• After 12 months If the property has not been claimed after the designated period, it may be disposed of, donated to charity, or auctioned off, depending on organizational policy.

9. Special Circumstances

• Valuable or Dangerous Items: If the lost property includes valuables (e.g., money, electronics) or dangerous items (e.g., weapons, hazardous materials), special care must be taken in handling and notifying the relevant authorities if necessary.

10. Responsibilities

• Employees: All employees are responsible for following the procedures for lost or found property, reporting it promptly, and ensuring it is securely stored.

• Lost Property Officer: The designated staff member or department responsible for managing lost property, maintaining records, and facilitating the return or disposal of items.

11. Review

This policy will be reviewed annually to ensure its relevance and effectiveness.
